Redbrick provides the ability to perform a Risk Factor Search at the beginning of a matter, which provides initial overview information on the property you’re transacting on. It will also by default download a OS plan showing the primary freehold title boundary, and add it to the document screen. The information is provided from the TM Group.
The Risk factors search will tell the solicitor early in the transaction if there are risks associated with the property or searches, for example slow search area or a coal risk or flooding risk etc.
If there is a matching issue with the property address in the auto import (e.g. it can’t be found in the TM system), then the Risk Factor Search will not be completed and will have to be repeated manually once the instruction has been automatically imported.
When creating a new matter via the New Job Wizard you will then get an option to Save as a Quote (Prospective Client) or Save and Activate. Depending on how your system has been configured, you may only have the Quote option.
When you have saved it will take you automatically to the Risk Factors screen.
(Please note this can be turned off at firm level if you don’t want it to automatically do a Risk Factor Search when creating a new client and/or matter).
For an existing Matter, go to the Edit Matter window.
You will then see a new Panel labelled “Search Risk Factors”. There will be a button in the page labelled Get Risk Factors which will also prompt you to confirm you wish to perform the search.
If the address cannot be matched it will either update the Status box to state that it Failed to get Risk Factors or if there are multiple addresses found in the match, you will be prompted to select the correct address from a list (as below):
When performing a Rick Factors Search you will see the status of the search in the bottom Status box which will update as the Search is being performed.
Once complete, the Risk Factors will be listed by Name, Category and an “Is Risk” flag. If there are any items in red, these are highlighting any potential risks for that area that you may want to consider doing a search on.
You will also see that the Local Authority and Water Authority details are populated, the address UPRN and the Freehold title number, plus the guideline search turnaround times. Although this will vary depending on what type of search and with which provider.
(note: only the main Freehold title number may be returned, any titles relating to adjoining land or other titles, including Leasehold, may not be returned. While useful, this data should not be used in lieu of performing Land Registry Title Searches).
When editing a matter, in the Panel called Search Risk Factors, it will list all the results, if a Risk search has previously been done.
You will also be able to perform a Search from this panel by clicking on the Searches button, this will update with the latest data.
Note: This can only be done if you order your searches through one of Redbrick's integrated partners.
The Get Risk Factors button will allow you to perform another search and will prompt you that the Risk Factor data already exists and asks you to confirm you want to continue.
Note: If you have changed the address after a Risk Factor Search, the prompt will still appear. If you click to do another search however, it will search against the new address.
