Prior to using Quill Integration please speak to your
Redbrick Business Consultant as they will need to switch on the options for
Quill
Integration with Quill can be done in 4 ways:-
[The below setup should be done by an Administrator at
the firm]
[In Quill the branches, users, matter types and time
recording rates need to have already been set]
Branch Setup
Go to Options in top left of Redbrick -> Branches -> [select
a branch] -> Edit
Click Quill options on the left and then choose the branch
from the drop down so that it maps into Quill
[This branch must be set up in Quill first to be made
available from the drop down]
User Setup
Go to Options in top left of Redbrick -> Users and Groups
-> [select a user] -> Edit User
On the left-hand panel of the window click on Accounts
Tick “Enable Quill integration for this user” and
complete the details listed below:
[This can be copied from an existing user if
already setup]
User Name: Quill login username
[This is often in the format of firstname.lastname but
can vary. The username can be checked in Quill by clicking the user's
initials at the bottom left of the screen and going into Settings]
Password: Quill password
[If you don’t know their password you can enter anything
in the password field and when the user logs into Redbrick it will tell them
its wrong and prompt them to amend it]
Client ID: Quill client id
[If you are not sure you can check this id against
another user currently set up with Quill integration]
Quill Fee Earner: If the user is a fee earner at the firm,
choose their name from the drop down list so it maps into Quill – if they are
not a fee earner leave it blank
[This fee earner must be set up in Quill first to be made
available from the drop down]
Quill Partner: If the user is a partner at the firm, choose
their name from the drop down list so it maps into Quill – if they are not a
partner leave it blank
[This partner must be set up in Quill first to be made
available from the drop down]
Matter Setup
You will now need to link the Redbrick matter types to the
Quill matter types
In Options, highlight the matter type you wish to link
[this needs to be done for ALL matter types]
Scroll down the right hand pane until you see the Quill Interactive
section and set the following:
Case type: select from the drop down the appropriate default
matter type
Default Source: select from the drop down the
appropriate default source
[Both the matter type and the source must exist in Quill
to be made available from the drop down. If they don’t exist add them into
Quill first]
Case description template: this enables you to add a
combination of text and tokens so you can set the format of the matter description
when a matter is passed to Quill.
The above setup will enable users to create matters and link
these into Quill, and view ledgers from the Quill button at the top of the
Redbrick screen
Billing setup
If you wish to push billing data through to Quill you can
set up the Our Costs screen to link values with Quill values.
The Billing sheet will need to be setup from the Billing
Template for each Job Matter Type
When you right click on a cell you will see the Set Account
Data options:
The Cell Account Data window will option where you will be
able to select the Posting details:
Go to Options -> Matter Types -> [expand required
matter type] -> Billing -> Our Costs
First set the column for Accounts Description and Accounts
Value by right clicking the column header
When you right click on a cell you will see the Set Account
Data option:
The Cell Account Data window allows you to select the type
of item (Fee / Expense / Disbursement), enter a default reference and
description and set the vat rate:
Where fees are concerned, you can also select a Quill Fee
Earner from the dropdown for where the fee will go, the default being the
Matter Fee Earner:
The Billing screen will look something like this:-
Any cells linked to Quill accounts will have a
coloured flag in the top left corner.
E-chit Request Setup
[You may need this feature activating by us first, if in doubt
please contact us]
There are a number of areas to set up before e-chit request
posting.
Options -> Users and Groups -> [Select Group] ->
Edit Group
There are three permissions you can switch on for Client account
postings, Office account postings and bills:
In the Matter Type Setup you can set defaults for the Office
Credit/Debit and Client Credit/Debit Reference and Narrative fields by adding
text and/or tokens.
These will be the defaults when adding one off postings from
the Quill menu button
You will need to
ensure the time recording rates in Quill are the same as the time recording
rates in Redbrick
(Options ->
Users and Groups -> [select user] -> Fee Rates)
Within each Matter Type there is the option to add a preferred
default Subject and Note by adding text and/or tokens to the Time Posting
Subject and Time Posting Notes fields:
