Adding Other Party Types (Administrator)

When writing to parties in Redbrick the templates are organised by party type. This allows you to generate letters or email pre-populated with the data you have inputted against that party as associated with the file (ask about adding and editing other parties for more general advice on this).


Whilst Redbrick comes with a variety of standard party types to choose from, you may wish to add additional bespoke party types to your database. These could be either as an external party, (such as Guardian or Tax Advisor) or an internal one (such as Accounts or Post Completion). Your Administrator will have the level of system access in order to do this.

First enter the Options menu and navigate to Firm > Party Types. This area is used to create new Other Party types for use in different Job Types. In order to add a party type into any Job Type (i.e. Purchase, Sale, etc.) they first need to exist here.

WarningIt is not possible to edit or delete any preconfigured Party Types – these are the ones that show as ‘Checked’ in the System Type column, in the below example, only the types marked as Unchecked can be edited. 

 

 To create a new party type first click on New. A window will appear. Input your desired Party Type name.


InfoOnce you have typed into the Party Type field the 'Save' button will become available.  

 

 


Once you have created your Party Type, you will need to set this against whichever Job Types it is required for. Still in the Options menu, navigate to the Matter Type and select 'Other Party Relationships'.


Click on Add and you will be presented with a list of the available Party Types. In the example below, 'Guarantors Solicitor' has been selected.



The Party Type is the base type i.e. the type that will be used as a document template section. You may give it a different 'name' if you like and it is this name that will present when you click to add a party to a matter.

 


You can now create new Parties that will be categorised as the new Party Type



You can create multiple relationships with the same base type and different names. An example would be if you had the base type as 'Third Party Solicitor' and wanted to create separate relationships for Guarantor Solicitors, Giftor Solicitors, Trustee Solicitor etc.

Within the the Parties screen and Document Templates section, all parties are sorted by their base type Party Name.

Within a specific matter, the parties will be organised by the Name you set as the relationship Name.

You may now add templates against your new party type as normal, which will now have appeared in the list of available templates against the job type.

If you can't see your new Party Type in the list of available Templates, you can either navigate away and return, or right click on the job type name and click 'Refresh'.
