How to set up a new user

You must have Administrator permissions to perform this.

From the Options menu, select Users and Groups:


In the new window, select Add User:

This will open a new window with user details. Most of the data capture in here is self-explanatory, but there are some that may require clarification as per below.

If you are unsure, it is always worth comparing to an existing fee earner to see how they are set up first.

Work your way through the left hand options by clicking on them one at a time, as they are different screens for you to fill in, and click on the OK button to save when you are finished.

 You can also click on the Cancel button to cancel out at any time, although your changes will not have been saved.



Username - The username to log into Redbrick PM.

Windows Login – If the system is set to log in automatically (you can request this from Redbrick Support), the windows username goes here (without the domain).

Can Log On – If you are adding a Fee Earner or Partner who doesn’t need to access this system, do not tick this box. Users must have this box ticked before they can log in.

Status – If a user leaves your firm you will want to flag them as InActive.

Fee Rates– This is where Fee earner specific costs per units can be set for different fee structures (See Fee Structures Section).

Case Permissions – By default every user can see every case, however users can be denied access to specific fee earners matters.

Job Title – This may also be used in letters, and would usually be; Solicitor, Paralegal, Legal Assistant, Licenced Conveyancer etc.

Member of (within the 'Role' page)  Set which group the user is a member of, depending on the permissions required for the user. (see Groups Section)

Initials – These are the initials to appear against work done in the system and in references for example John Smiths initials might be JS, rather than J.

Nickname – This is the sign off, or how the user would like their name to appear in letters.

 AML Login Details – If Veriphy AML Check is integrated, Usernames and Passwords are stored here.

Document Templates – Depending how your documents are set up (either Fee Earner specific, or Branch specific letterheads) you can select letterheads from here.

Accounts – If one of our integrated Accounts systems is used, connection details are stored here. If you use Quill integrated accounts, usernames and passwords are also stored in the My Account section on the top row of buttons in Redbrick, under Quill Settings, and displayed for the User who is logged in.

Searches If an integrated search provider is used for property searches, usernames and passwords can be stored here.

Assistants  If you are using the Assistants functionality (e.g. where a Fee earner has more than one assistant and your templates display multiple names, or you Assign Tasks to all Fee earner Assistants as a group), tick the correct names in the selection box on this page within the Fee Earner user record once their record has been set-up.  Note: any user who is ticked as a Fee Earner or a Partner in their User Record will not show as an available Assistant.
