Using the Find Screen to locate a matter
From the Home page in Redbrick click on the ‘Find’ Icon – a screen similar to the one below will appear.
This screen, depending on your search criteria, will show you all matters.

By clicking on the arrow next to the Find button you can see the recent matters that you have worked on.
Using this option, to open a recent matter in a new tab you will have to click on the matter while having the Shift button pressed:
To search for specific matters, click into the white space below the relevant column, depending on what you are searching for ie Client, Description, UCRN, Ref etc.
There are various ways of searching for specific words when you type in the white space.
If you click into the white space of the column you want to search in there is a default symbol that appears in the left hand of that white space . What that means is that it will search for any text that contains the word/s that you type in. Like a wildcard search.
If you then click on that symbol, it will show you a list of other ways that you can search for text if required.
In the above example, when the name of Green has been typed in the Client column, both ‘Derek Green and Graham Taylor’ & ‘Tracey Greenwood’ are shown as results, as the system has searched everywhere in that column for the name Green.
If you double click on the result you require, then it will open it up in the current tab you are in.
If you highlight the result you want, then right click you have other options.
One of them being that you can open the matter in a New Tab.
You can have up to 5 tabs open at any time, including the Dashboard tab, meaning you can flick between them when working on multiple files.
The principle is the same for every column, therefore you can search by the Matter Description, Matter Type, Status etc.
So again, if you knew the road but not the number you could search for ‘Tenby Road’ to find all properties on Tenby Road.
You can also search in more than one column at a time. E.G if the client name is Smith it may bring up a lot of records. If you knew the property postcode you could also type that in under description to reduce the amount of search results.

Using the Filters to group files
The filters above the search fields can be used to group matters together based on the options. The filters will combine so if you select a Fee Earner only then you will see all that Fee Earners matters. If you then select matter type Sale as well, you will only see that Fee Earners Sale matters.
The Options are -
Fee Earner – The user can filter the list to only see matters listed under the selected Fee Earner/s, Active Fee Earners Only or All.
Type – You can filter to only see the selected matter type of say Sale or Purchase.
Status – This can be used to show all matters of a specific status, ie only active matters and filter out quotes for example.
Period – This selects only matters listed in the last x months ie 3, 6, 9 etc.
You can make use of multiple filters such as a particular Fee Earners Sale Quotes. If you want to save a specific set of filters for easy access, your Redbrick Business Consultant can create a custom view which is shown in the last column ‘Filter’, drop this down to see any views on your system.
The above example Filter is only displaying Active and Quote matters i.e. removing all Cancelled and Archived matters, etc, from the view.
If matters appear to be missing, check they are not being filtered out by changing the search filters back to ALL.
Searching for Clients
You can also search for clients directly with the Client button.
Clicking this will bring up the client list.
You can search in the white space above each column for each item like in the Find Screen. Below we searched for the name of Green again to bring up all clients named Green, as explained previously.
Once you have found the client you are looking for, you can either highlight the client and use the menu buttons above, or, right click on the client to bring up the menu.
The Client List column on the far right will show all contacts against that client so can be useful if you don’t know if there is more than one contact like a Mr and Mrs.
If you now click Show Matters, you will get a list of that clients cases.
You can either double click the case to open it up in your current tab, or, highlight the case you want to open then click Go To and it will ask if you want to open it in a new tab.
