Setting triggered actions requires Administrator permissions
One triggered action option that can be set against a task is to create a File Note for the user to complete. This can be set as a Document trigger in the usual way in the task template
At it's most basic level this will just create a file note dialogue box window for the user to type into when the task is ticked. The file note will then be saved into the Document screen.
However, as you can set default wording within the triggered note (including the use of tokens) this functionality can be used in a variety of different ways.
Prompts
If you wish to remind the user to do something, you can add that wording as the default note.
This can be used to drive the user behaviour or matter procedures as you wish.
Templates
If you want to ensure that your user records exactly the desired information you could write a template and give them gaps to complete
Conditional Reminders
As with almost all task triggers, you can conditionalise when the trigger will fire. Therefore you could write a note to remind the user to do something (or that they haven't done something they should of) and have this only generate in that circumstance.
For example, if they tick the task to do the AML search but haven't yet ticked the task to say Money on Account received
Conditional Action List
As you can also use tokens and conditional logic within the default file note wording, you can get very clever in what you get it to present. The below example checks some data points and returns information / conditional results, e.g. the 'money on account' would produce the date the task was ticked, but if it has not been ticked then an OVERDUE message is presented as the result.

As you can see, there are a lot of potential uses for using File Notes as a triggered action. If you would like to talk through your options (or have any great ideas you'd like to share!) please contact your Business Consultant to discuss.
